ESP Password Policy
The current password policy requires your password to be at least 12 characters long and contain at least one upper case letter, lower case letter, number or special character (i.e. $@#!& etc…) (i.e. at least 3 of the 4 types of characters). Note that you cannot re-use a password you’ve had before or include your name in the password.
Passwords expire every 42 days, users receive warnings via windows notifications (in the bottom right hand corner of your screen) and by email, 7, 3 and 1 day before the password expires.
Note that the email does not ask you to click a link or go to a web page to reset your password, which a phishing email may ask you to do.
If your password expires before you have a chance to change it then you will need to contact the IT department.
We encourage users to use strong passwords and domain passwords must not be used for other sites or personal use. As a general rule the more characters in your password the harder is for a program to crack and longer passwords are not necessarily harder to remember.
Your domain password is used to log in to your computer and if you have any mobile devices it is used to log into the company portal app and your emails. Note that on mobile devices you should not need to sign in again until your password changes. Occasionally Apps will update and sign you out but this should simply be a case of signing back in.
Changing your password
Resetting your password takes a couple of steps, if you follow the below you should not experience any issues or complications (like getting locked out of the account). Outlook especially can stop refreshing emails and will show as “Need Password” in the bottom left of the window as it needs your login credentials to be up to date. The steps to follow for changing your password are :
- Press ctrl + alt + delete and click on ‘Change a Password’
- Enter your old password and keep in mind the password policy when creating a new one.
- We strongly recommend you reboot your laptop after a password change, if you’re unable to do this at the time then you can lock the computer (windows key + L) and unlock it with the new password – this refreshes the Windows credentials in your active session and allows apps like outlook to connect to the mail server.
- When prompted follow the Multi Factor Authentication (MFA) prompts accordingly. Note you will have to do this on every device if you have more than one.
If you have a phone or tablet the apps should display a notification that they need a new password.
On company managed devices you’ll get a prompt from Company Portal when you need to enter your new password, this should manage your logins for outlook, Teams and Microsoft office too.
